SmallFriendFiles Terms of Service

Version: 0.2 (draft, open beta) Effective date: 30 August 2026 Last updated: 11 October 2026 (revised consumer clauses, contract formation and AI processing)

Not a final legal document. Draft for the open free beta. Before the public paid launch of V1.1, it must be reviewed by a Spanish lawyer specialising in SaaS agreements. Its draft status does not limit any of the rights granted to you by applicable law.

This document is available in Spanish, Russian, English and Ukrainian. In the event of any discrepancy between versions, the Spanish version shall prevail, without prejudice to the rights granted to you by mandatory consumer-protection law.

1. What SmallFriendFiles is and who provides it

SmallFriendFiles is a web service for storing your pet's medical documents and quickly sharing them with a veterinarian via a protected link (share-link).

The Service is provided by:

  • Service provider: Ekaterina Pustovaia, registered as an autónomo (self-employed sole trader) in Spain
  • NIF/NIE: Z2391039X
  • Address: Avenida de Francia, 79, bloque B, planta 10, puerta 8, 46024 València (Valencia), Spain
  • Email: support@smallfriendfiles.fyi

These Terms (the "Terms", "ToS") govern the agreement between you and the service provider for the use of the Service. If you do not agree with any provision, please do not sign up.

1.1. How the agreement is concluded

  1. On the sign-up page you choose to sign up with email and password or with Google. The same page, next to both options, contains links to these Terms and to the Privacy Policy. If you do not have an account yet and click "Continue with Google" on the sign-in page, the same links are shown there and an account is created in the same way.
  2. By clicking "Create account" or "Continue with Google", you accept these Terms. If you sign up with email, the agreement is concluded when you confirm your address via the link we send you; if you sign up with Google, when Google confirms your identity and the account is created.
  3. Until then, you can correct the data entered in the form itself or abandon sign-up without any consequences.
  4. We keep a record of the version of the Terms you accepted, the date and time, and the language in which they were displayed. The current Terms are always available at https://smallfriendfiles.fyi/terms, from where you can save or print them; if you need the version you accepted at the time, we will send it to you on request in a durable medium.
  5. The agreement may be concluded in Spanish, Russian, English or Ukrainian; in the event of any discrepancy, the Spanish version prevails (see the header).

2. Stage of the Service: free beta (V1)

At the time these Terms are in effect, the Service is in an open free beta:

  • Access — open registration (no invite code and no waiting list)
  • The Service is provided free of charge
  • As with any beta, the Service may contain errors or suffer interruptions. We recommend that you keep the originals of important documents
  • No Service Level Agreement (SLA) is provided: we do not commit to any particular uptime, although we strive for reasonable availability
  • Changes to the Service are governed by section 14

These notices describe the state of the Service; they do not limit the rights granted to you by consumer-protection law.

3. Who may use the Service

3.1. Age

The Service is available to persons aged 18 and over. By signing up, you confirm that you are at least 18 years old.

3.2. Geography

The Service is available to users from EU countries, Switzerland, the United Kingdom, Norway, Iceland, Liechtenstein, the USA, Canada, Latin American countries and other countries at our discretion.

If you are a resident of the Russian Federation: we inform you that Russian personal-data legislation (in particular, Art. 18 of Federal Law No. 152-FZ) contains database-localisation requirements and that the Service, hosted in the EU and Switzerland, is not set up to meet them. See section 5 of the Privacy Policy.

We reserve the right to refuse access to users from countries subject to sanctions restrictions, or where providing the Service conflicts with applicable law.

3.3. One account per user

One person — one account. Sharing your credentials with third parties is prohibited.

4. Registration and account security

  • Registration — via Google OAuth or email/password
  • You must provide a genuine email address
  • You are responsible for keeping your credentials confidential
  • If you notice unauthorised access to your account, report it immediately to security@smallfriendfiles.fyi

5. How you may use the Service (Acceptable Use)

5.1. What is permitted

  • Storing medical documents of your own pets
  • Sharing these documents with veterinarians and other trusted recipients via a share-link
  • Downloading your data

5.2. What is prohibited

You undertake not to:

  • Upload other people's personal data without the data subject's consent (if third-party data is visible on a receipt or report, this is acceptable to a reasonable extent for your own records; but uploading other people's medical records is prohibited)
  • Upload medical/identity documents of humans (your own or anyone else's)
  • Upload material that violates the laws of Spain, the EU or your country of residence (including, but not limited to: CSAM, hate-inciting material, malware)
  • Use the Service for unlawful activities
  • Attempt to gain unauthorised access to the Service, other accounts or the infrastructure
  • Engage in reverse engineering, scraping, or automated bulk requests
  • Load the infrastructure in ways not provided for by the standard UI (DoS, spam registrations)
  • Create accounts on behalf of third parties without their consent

The consequences of breaching these rules are governed by section 12.2.

6. Your content and rights to it

6.1. Ownership remains with you

All documents, photos and data you upload are yours. SmallFriendFiles claims no ownership rights.

6.2. The licence you grant us

For the Service to work, you grant us a non-exclusive, royalty-free, worldwide, revocable licence to store, copy (for backups), display and process your content — solely for the purpose of providing the Service. The licence terminates when the content or the account is deleted.

We do not use your content for advertising and do not sell it to third parties. We ourselves do not train any models on it.

6.2.1. AI document recognition: where your files go

Metadata recognition is part of the Service, not an add-on: it runs automatically for every uploaded document and cannot be turned on or off. The only way not to send a document is not to upload it to the Service.

Recognition is performed by an external AI service — currently Google (cloud AI services) (USA and other countries where Google operates). Terms applicable to that service: Google's additional terms for its AI APIs: because the controller is established in the EEA, the paid-services data terms apply — Google does not use the content to improve its products and processes it under its DPA (EU-US Data Privacy Framework, otherwise SCC); logs are kept for a limited time to detect abuse. In practice this means the following:

  • a copy of every uploaded document, together with the interface language and the pet's name, is sent to this provider to extract the type, date, clinic, veterinarian, specialty and tags, to produce a summary and to extract vaccinations;
  • the same document may be sent again in the event of a technical failure or if you ask for it to be recognised again;
  • documents of roughly 12 MB and above are sent by uploading them to the provider's file storage, where a copy exists for a limited time under its rules;
  • we ourselves do not train models on your content, do not use it for advertising and do not sell it to third parties.

This section informs you of how the Service works; the lawful basis for processing personal data is set out in section 3 of the Privacy Policy. If you do not want a document to be sent, do not upload it: you can enter the data manually and use the other features.

The current provider is always named in this paragraph and in the sub-processors table of the Policy — both places are filled in automatically from the Service's configuration, so they cannot diverge from reality.

6.3. Responsibility for content

You represent and warrant that:

  • You have the lawful right to upload the content to the Service
  • The content does not infringe the rights of third parties (including copyright, image rights and personal-data rights)
  • The content complies with acceptable use (section 5)

7. Share-links: the owner's responsibility

This is a key section. Please read it carefully.

The share-link feature lets you create a public URL /share/[token] through which your veterinarian (or another trusted person) can view the selected documents for the specified period.

7.1. Protective measures we apply by default

  • Validity period: 30 days; the link can be extended by another 30 days or revoked at any time
  • The ability to revoke the link at any time (revoke)
  • A random 22-character URL-safe token (128 bits of entropy)
  • Search-engine indexing disabled (noindex, nofollow)
  • No advertising or product analytics on the share page (only technical error monitoring runs there — Sentry, EU instance)

7.2. Your obligations

When creating a share-link, you:

  • Choose the recipient yourself
  • Decide yourself which documents and which period to include
  • Are responsible for the security of the channel through which you pass the link (messenger, email, SMS)
  • Undertake to revoke the link as soon as it is no longer needed (for example, after the vet visit)
  • Understand that anyone who obtains the URL can open the share page while the link is valid and not revoked
  • Accept the risk that the recipient may re-save, forward or download the contents — we have no technical control over this

7.3. Our limitation of liability for share-links

SmallFriendFiles provides the share-link infrastructure. We are not liable for damage that is not attributable to us, in particular for:

  • Leakage of share-link contents through actions of the owner or the recipient
  • Failure by the owner to revoke in a timely manner
  • Use of the contents by the recipient

We are liable, in accordance with section 13, for security failures of the Service itself (for example, if a revoked link kept opening because of an error on our side).

8. SmallFriendFiles does not replace veterinary care

SmallFriendFiles is a tool for storing and sharing documents. It is NOT:

  • A diagnostic service
  • A source of veterinary or medical advice
  • A substitute for an in-person veterinary consultation
  • An emergency service

No information displayed in SmallFriendFiles (including possible AI outputs in V2) should be used as a basis for self-treatment, for not seeking veterinary care, or for making medical decisions about your pet.

8.1. Automatic document summaries

The Service may display a short summary of an uploaded document, generated automatically. A summary is a restatement of what is written in the document and is not a medical opinion, diagnosis or assessment of the pet's condition. We do not evaluate the values: they are given as printed in the document.

Summaries are generated by software and may contain errors, omissions and inaccuracies. In the event of any discrepancy between a summary and the document, the original document prevails. The original is always available in the Service one step away from the summary screen.

Make decisions about your pet's health on the basis of the original document and a consultation with a licensed veterinarian, not on the basis of the summary.

If your pet has health problems, consult a licensed veterinarian. In an emergency, call the nearest 24-hour veterinary clinic or animal emergency service.

The Service does not provide veterinary care; decisions about your pet's treatment are for you and your veterinarian. Our liability is governed by section 13.

9. AI processing of documents

Now, in V1. Every uploaded document is automatically sent to a third-party AI service (Google (cloud AI services), USA and other countries where Google operates) to extract metadata (document type, date, clinic, veterinarian, specialty, tags), to produce a short summary (section 8.1) and to extract vaccinations. This is part of the Service's core functionality and is available to all users free of charge; there is no separate toggle, and the only way not to send a document is not to upload it to the Service. What exactly is sent, to whom, where and on what lawful basis — see sections 2.3 and 4.2 of the Privacy Policy.

The extracted metadata pre-fills a form; it is not a medical opinion and not verified data. It can be inaccurate: check and correct it yourself. All limitations of section 8 ("does not replace veterinary care") apply in full to any AI outputs.

In the future (V2, Premium). The premium tier may include additional AI features for analysis of document contents, beyond the extraction and summary described above. This will be a separate opt-in feature with its own consent flow, described in the Privacy Policy and in a separate AI Addendum by the time V2 launches.

10. Grandfather-access commitment for the V1 beta

This is a commitment expressly set out in these Terms.

If you are a V1 beta user (you signed up before the end of the V1 phase), we guarantee:

  1. Year 1 after the launch of V1.1 (the paid model): full free access to the Standard plan ($30/year equivalent) — 500 MB Storage, unlimited share-links and export, without AI features.
  2. After Year 1 — indefinitely: automatic transfer to a permanent free grandfather plan, "free Standard", with the same quotas (500 MB, unlimited share-links and export, no AI). No paywall, no loss of access to previously uploaded data.
  3. If you want AI and extended storage: you can upgrade to Premium ($50/year) at any time at the regular price.

This commitment survives changes to these Terms and to the pricing model. The only cases in which grandfather access ends:

  • You deleted the account yourself
  • A serious breach of Acceptable Use (section 5) resulting in the account being blocked
  • Discontinuation of the Service as a whole (see section 12)

We may not unilaterally move you to a paid plan or change the terms of grandfather access to your detriment.

The dollar amounts in this section only identify the plans; you are not charged anything for grandfather access.

11. Paid subscriptions (V1.1+)

There are no payments in V1. With the launch of V1.1, paid plans are planned to be offered (Standard and Premium; current indicative prices: $30/year and $50/year). Before you can subscribe to any paid plan:

  • We will show you the final price in euros, including all applicable taxes, and the terms of payment, renewal and cancellation, which will be published in a separate document (Subscription Terms) or added to these Terms
  • Payments will be processed via Stripe (PCI-DSS Level 1) — we will not store card numbers
  • We will inform you of your 14-calendar-day right of withdrawal under the consolidated text of the General Law for the Defence of Consumers and Users (Royal Legislative Decree 1/2007). If you expressly request that the service begin during that period and then withdraw, you will only have to pay the portion corresponding to the service already provided; in no case will you lose the right of withdrawal merely by activating the subscription.

This section will be revised before the launch of V1.1.

12. Termination of the Service and account deletion

12.1. You can leave at any time

You can delete your account yourself in the app: Profile → Danger zone → "Delete account". Access is disabled immediately and the deletion is irreversible; the exceptions (backups, technical retries, copies in email, legal retention) are described in section 6 of the Privacy Policy. If you can sign in but prefer to contact us, write via Profile → Help; if access has been lost and the form is unavailable — to the contact address in section 13 of the Privacy Policy. We fulfil such a request within one month. Details — section 7 of the Privacy Policy.

12.2. We may suspend or close your account

We may suspend or close your account in the following cases:

  • Breach of section 5 (Acceptable Use)
  • Actions that threaten the security of the Service or other users
  • Upon a binding order of a public authority

The measure will be proportionate to the seriousness of the breach. Unless prevented by law or by an immediate security risk, we will warn you in advance by email, stating the reason, and give you the opportunity to remedy the situation. Suspension does not mean deletion of your data: if we close the account, we will give you a reasonable period of at least 30 days to export your data, unless the content is unlawful or an authority prevents it. If in the future you have paid for a period of service, the refund of the unused portion will be governed by applicable law.

12.3. Discontinuation of the Service as a whole

If SmallFriendFiles ceases operations, we will:

  • Notify all users at least 60 days in advance — by an announcement in the Service and, if we have your email, by email
  • Provide the ability to export data in the machine-readable JSON format together with the files
  • Fulfil the grandfather commitments of section 10 to the extent technically possible (for example, provide an encrypted archive if the operational infrastructure is shut down; or migrate the account to an open-source self-hosted version)

13. Warranties and liability

13.1. What we guarantee

We provide the Service with reasonable care, as described in these Terms and in the Privacy Policy. Since this is a free beta, we do not guarantee uninterrupted availability or freedom from errors (section 2), and automatic recognition and summaries may contain inaccuracies (sections 8.1 and 9). This does not limit the rights granted to you as a consumer by the consolidated text of the General Law for the Defence of Consumers and Users (Royal Legislative Decree 1/2007), in particular in the event of a lack of conformity of the digital service.

13.2. Liability

We are liable for damage we cause you through breach of our obligations, in accordance with applicable law. We are not liable for damage that is not attributable to us, such as damage caused by you yourself, by third parties unrelated to us (including recipients of a share-link) or by force majeure (section 16).

13.3. Your liability

If you culpably breach section 5 (Acceptable Use) or section 6.3, you will be liable to us for the damage you cause us as a result, in accordance with applicable law.

14. Changes to these Terms

We will only change these Terms or the features of the Service for valid reasons: legal or regulatory changes, security reasons, the technical evolution of the Service, a change of providers, or the introduction of the plans described in sections 10 and 11.

We will inform you of material changes at least 30 days in advance, by email to your account address, stating their content and the date on which they take effect. If a change is to your detriment in a way that is more than merely minor, you may terminate the agreement free of charge, by deleting the account or writing to us, within 30 days of receiving the notice or of the change being applied, whichever is later; before terminating, you can export your data. Less significant edits (typo fixes, clarifications) are published without prior notice — with the "Last updated" date at the top of the document updated.

Section 10 (Grandfather commitment) cannot be changed unilaterally to the detriment of beta users.

15. Governing law and dispute resolution

15.1. Governing law

These Terms are governed by the law of the Kingdom of Spain, without regard to its conflict-of-laws rules.

15.2. Consumer protection and competent courts

If you act as a consumer, the choice of Spanish law does not deprive you of the protection afforded to you by the mandatory provisions of the law of your country of habitual residence where that law applies under Regulation (EC) No 593/2008 (Rome I) or other applicable rules. The competent courts will be determined in accordance with the applicable rules on international jurisdiction and consumer protection; in particular, if you reside in the EU, you may sue us before the courts of your domicile or of Spain, and we may only sue you before the courts of your domicile.

15.3. Complaints

If you have a complaint, write to us through the in-app form (Profile → Help) or at support@smallfriendfiles.fyi; we will reply as soon as possible and in any event within one month. You can also contact the consumer services of your place of residence (in Spain, the OMIC (Municipal Consumer Information Office) or the consumer service of your autonomous community). We are not currently members of any consumer arbitration scheme or alternative dispute resolution body.

16. Miscellaneous

  • Severability: if any provision of these Terms is held invalid, the remaining provisions remain in force.
  • Waiver: if we do not insist on enforcing a right in a particular situation, this does not mean a waiver of that right in other cases.
  • Entire agreement: these Terms, together with the Privacy Policy, constitute the entire agreement between us regarding the subject matter of the Service.
  • Assignment: you may not assign your rights under these Terms to third parties without our consent. We may transfer our rights upon a sale of the business with 30 days' notice to you.
  • Force majeure: we are not liable for failure to perform obligations due to circumstances beyond our reasonable control (natural disasters, war, widespread failures of third-party infrastructure that we could not have avoided with reasonable care, etc.).
